About
The Role
Logistics Planning & Coordination
Develop and maintain a delivery and transport schedule for each active project, aligned to confirmed purchase orders, site need dates and the construction programme.
Coordinate with Procurement Officers daily to confirm order status, lead times and any change in site sequencing that affects delivery timing.
Identify the most efficient freight route and mode (road, sea, air) for each shipment, factoring cost, lead time and site accessibility.
Maintain a company-wide delivery tracker showing the status of all freight and transport movements by project.
Coordinate transportation activity across all active projects to ensure project programmes are not adversely affected by freight, shipping or transport delays.
Freight & Transport Booking
Book and confirm freight, shipping and transport arrangements with carriers, freight forwarders and transport contractors.
Coordinate directly with shipping lines and associated ports for both international and coastal shipping movements into and within PNG.
Coordinate shipping lane and vessel scheduling to align sailing dates and port windows with project need dates, avoiding avoidable delay to project programmes.
Negotiate freight rates and terms with transport providers, and maintain a panel of reliable carriers for recurring routes.
Track booking confirmations, vessel or vehicle schedules and estimated arrival dates, and escalate any slippage against the construction programme immediately.
Advise the Scheduler directly and promptly of any freight or delivery delay likely to impact the construction programme, so the programme can be updated and resequenced as needed.
Coordinate consolidated shipments where practical to reduce freight cost and doublehandling, particularly for provincial and remote sites.
Site Delivery Coordination
Confirm site access, unloading and storage arrangements with Site Managers ahead of major deliveries.
Coordinate delivery timing with the Warehouse Supervisor to ensure materials are received, checked and dispatched to site without delay.
Support resolution of delivery discrepancies, damaged goods or short-shipments in coordination with the Procurement team and Warehouse Supervisor.
Maintain proof-of-delivery and receiving records for every shipment.
Fleet & Equipment Movement
Coordinate the movement of company vehicles, plant and equipment between the factory, warehouse and project sites.
Maintain a register of vehicle and plant movements, including current location and utilisation across projects.
Liaise with the Factory & Projects Supervisor on equipment availability and transport requirements.
Documentation & Compliance
Prepare and maintain freight, customs and transport documentation for all shipments,
including provincial and cross-border movements.
Ensure all transport and freight activity complies with company policy, delegation of
authority and relevant PNG transport and customs requirements.
Maintain accurate records for audit and client compliance purposes.
Reporting
Provide a logistics and transport status update to the weekly project coordination meeting,
including any at-risk deliveries.
Report freight and transport spend against budget, and flag cost variances to the
